Educational institutions require efficient systems to manage student organizations, club memberships, and event-related activities in a structured and transparent manner. Conventional management approaches that rely on paper records, spreadsheets, or isolated digital tools often result in data redundancy, communication delays, inefficient membership handling, and increased administrative workload. To overcome these challenges, this project presents the Centralized Student Organization and Event Manager (CSOEM), a web-based platform that integrates modern frontend, backend, and database technologies to streamline the management of student clubs and organizational activities. The proposed system enables administrators to manage user registrations, approve memberships, create and maintain club information, and publish notifications through a centralized interface. Students can register securely, explore available clubs, submit membership requests, monitor approval status, and receive real-time announcements regarding organizational activities. The application is developed using React.js for the user interface, Node.js with Express.js for backend services, and MySQL for reliable relational data storage. Role-based access control ensures secure authorization by providing separate functionalities for administrators and members while maintaining data integrity and operational transparency. The centralized architecture minimizes manual intervention, improves communication efficiency, and supports consistent data management across all modules. Experimental implementation demonstrates that the proposed system enhances administrative productivity, simplifies club coordination, reduces processing time for membership workflows, and provides a scalable and user-friendly solution for managing student organizations and events in educational institutions. The platform offers a reliable foundation for future enhancements such as event scheduling, attendance tracking, mobile accessibility, and advanced analytics.
